What is UPS Auto Import XML?
You've probably become accustomed to using UPS Worldship's Keyed Import feature to pull shipping information from CMS. While Keyed Import is still available, CMS users have a new option that can streamline your shipping function. We have integrated the Worldship feature XML Auto-Import so that you can push shipping information to Worldship throughout the day, and generate your UPS shipping labels without having to leave the CMS Manifest window.
Setup for this feature involves telling CMS where (on your hard drive) to send the information, and telling UPS Worldship where (on your hard drive) to look for that information. If you are processing UPS shipments on more than one workstation, you will need to set up XML Auto-Import on each of them. See Setup for XML Auto Import.
Then, at the beginning of the shipping day, you place UPS Worldship in Auto-Import mode, and simply go about the business of processing packages in the CMS Manifest. When you click the Label button on the Manifest window—or scan the barcode for the Label button—if the package is to ship by UPS, CMS exports the shipping information to an .xml file in the location you have set up. Worldship, operating in Auto-Import mode, periodically checks the location for new data, and upon finding it, prints a label and sends back a tracking number.
This new integration significantly cuts your processing time. To really ramp it up, we've added support for USB/Serial scanners; so, if you have scales attached to the shipping workstation and use a barcode scanner, processing packages is as easy as 1-2-3:
Place package on scale.
Scan package barcode.
Scan label (F7) barcode.
Messages from the integration—including when a package cannot be automatically processed—are displayed on the Messages tab in the CMS Shipping Manifest. CMS automatically switches to the Messages tab when new messages come in.
XML Auto Import only processes new shipments. You will still use the UPS Worldship software to void shipments or run End of Day.
Setting up UPS Auto Import XML
Both Worldship and CMS must be configured in order to work together. The following outlines what must be done in each system.
Setting up Worldship
Follow the steps below:
- Open Worldship
- Select Import/Export Data at the top
- Select XML Auto Import
- Where it says "XML Auto Import File Folder" Make sure this is pointed to a shared folder that both the UPS Workstation and CMS server can see. By default it should read '(drive letter)\UPS\WSTD\IMPEXP\XML Auto Import\'
- Repeat Step 4 with "Log File Destination Folder"
Setting up CMS to work with UPS Auto Import XML
Follow these steps to configure CMS to use the XML Auto Import feature on each workstation that processes shipments.
If you are processing UPS shipments on more than one workstation, you will need to follow these procedures on each of them.
- Click on the CMS toolbar.
- Select the General tab.
- Click Workstation Specific.
- Select the Shipping tab.
- Click .
- Click OK to accept the default folder or designate another folder. (Note: This folder MUST be exactly the same as the folder designated under step 4 in "Setting up Worldship" above)
- Click Save.
- Select Shipping
- Select Shipping Choices
- In the Category list at left, select UPS.
- Under UPS Worldship, select the Use UPS XML for Label Printing in Manifest check box.
Using UPS Auto Import XML
Now that UPS Auto Improt XML is setup, follow the instructions below to use it.
- Open Worldship
- Select Import/Export Data at the top
- Select XML Auto Import
- Select Start
This will put Worldship in a state where it will receive data transfered from CMS.
- Open CMS
- Select Fulfillment
- Select Manifest
- Enter a a package into the manifest. There are a number of ways to do and for further information please see the Help section in CMS on "Shipping Manifest"
- Select Label
This should then pass the information to Worldship, Print your label, Mark the package as shipping in CMS, and import the tracking information.
Congratulations you have set up the UPS Auto Import XML.
